How can I clean the disk space on my mail.sas account?

NOTE: This page acts as a supplement to the What should I do when I have exceeded my disk quota? page, providing more detailed instructions. It may be helpful to also read that page.

There are a few steps needed to take care of the most common causes of going over you disk quota. Note: In these instructions, whenever you are told to type something, do not include the quotes in what you actually type. They are just there to make it easier to read.

Via telnet or ssh, connect to your account

You can read more about this in detail at How can I connect to mail.sas? FAQ page. Here are the short instructions for Macintosh and Windows users who are connected to the Internet.

If you are using a Mac, look for a program called DataComet or DataComet Secure. Start the program, and either pick the mail.sas session or type mail.sas.upenn.edu in the "Host Address" field and click "OK".

If you are using a PC with Windows, Secure CRT may be installed on the computer. Once you open the program, you should be able to choose mail.sas from a list of profiles and then click "Connect".

If you are using a PC with Windows, but it does not have any telnet/ssh clients installed on it, you can use the telnet application that comes with the operating system. Click on "Start", select "Run", type "telnet mail.sas.upenn.edu" in the box that pops up, and click "O.K."

Look to see what files you have

Once you are connected to mail.sas, you should have a prompt called "Main Menu." Press return (or enter), and a list of options should come up. You can read more details about the Main Menu, but for this you will only need to use the "files" option. Type "files" and you will see a list of files and directories that are using your disk space on mail.sas

You should see at least the following:

 Mail (dir)
 News (dir)
You may see other files and directories. Look to see if any of the files are larger than 100 KB (one thousand Bytes = 1 KB). If they are, select them and see what that file contain by pressing return.
Some common problem files include files that begin with "mbox," which are dumped files containing mail that was in your inbox if you went over the inbox quota. Make note of what files you would like to keep, as you will need to know that in the next step, Download a copy of any files you may want to keep. Leave this window open, as you will need it in the final step.

Download a copy of any files you may want to keep

The easiest way to do this is to use Netscape, although it can be done with Fetch on the Mac, and WS_FTP on Windows. See here for more information.

Once you have finished downloading all the files, you can quit Netscape and move on to the section below.

Delete the unwanted files from your disk space

Now, go back to the window, where the file list should still be showing. You can now delete any files you downloaded, or that you no longer need by selecting the file and hitting the "D" key. It will ask twice if you are sure you wish to delete the file. If you do, hit the "y" key both times. Once you have deleted the files you no longer need, you can type "Q" to return to the Main Menu. If you are done with your telnet/ssh connection to mail.sas, type "logout" and then close the window.
