Equipment Loan Policy for SAS Students

SAS Computing Mutli-Media Services will lend audio-visual equipment to students for use in course work. Please carefully review the policies below before requesting equipment.

  1. Equipment will be available to students only for use in fulfilling assigned course work for SAS classes or for independent study supervised by SAS faculty. All loans require written authorization from the instructor. We will not lend equipment for personal use, extracurricular activities, study abroad, or other purposes.  SAS Computing staff will check with faculty as needed to verify that requests for equipment are related to their coursework.
  2. Students will pickup and return equipment at the Multi-Media Services office located in DRL. In most cases, equipment is available for pickup after 1:00pm on the approved start date and must be returned by 11:00am on the due date.  Multi-Media Services staff can make alternative arrangements in special cases.
  3. Students are responsible for returning all items and are financially liable for any items not returned.  Charges will be based on the replacement cost for missing equipment, up to the $500 deductible under the University’s Risk Management program.  Charges will be assessed through the student’s Bursar bill.  Charges will not be assessed for damage to any returned equipment
  4. Late returns are subject to a $25/day fee, charged to the student’s Bursar bill.
  5. Students are responsible for providing at their own expense any consumable supplies, such as blank tapes or discs.
  6. At the time of check out, students will be required to sign a statement acknowledging receipt of the equipment, and the terms of the loan.  Upon return of the equipment, Multi-Media Services staff will provide a printed receipt acknowledging return of all items, or noting any exceptions.
  7. We will make every effort to ensure that loaned equipment is fully functional. However, we cannot guarantee that the equipment is in full working condition or that batteries are charged at the time of the loan. Students are encouraged to verify equipment functionality before leaving Multi-Media Services.
  8. Equipment loans are made only to one individual and that person takes the entire risk and responsibility for the loan. Although the borrower may ask another person to return the equipment, the borrower takes full financial responsibility for the loaned equipment.
  9. Multi-Media Services will only lend video recording equipment to students with explicit prior permission from the instructor. Students in approved courses may borrow audio and video recording equipment by using the site at http://fusion.sas.upenn.edu/eqdb/sas.php.
  10. For other requests, please use our online equipment loan form. All requests require approval by Multi-Media Services staff; students will receive confirmation via email when request are approved.
